1. Our Satisfaction Commitment
We stand behind the quality of our work. Our goal is to ensure every client is satisfied with the services they receive. Before discussing refunds, we always work with our clients to address any concerns and find solutions that meet their needs.
Our Promise: If you're not satisfied with our work, we will work with you to make it right before any refund is considered.
2. Custom Software Development Services
2.1 Project-Based Engagements
For custom software development projects, refund eligibility depends on the project phase and circumstances:
Before Project Commencement
- Full Refund: If you cancel before we begin work, you are entitled to a full refund of any deposits paid, minus any documented discovery or planning costs already incurred (with your approval).
- Processing Time: Refunds are processed within 10 business days of cancellation confirmation.
During Active Development
- Partial Refund: If you cancel during active development, you will be charged for work completed up to the cancellation date. Any remaining balance will be refunded.
- Deliverables: You will receive all deliverables completed up to the cancellation date, subject to payment for that work.
- Notice Period: We require 14 days written notice for project cancellation.
After Project Completion
- Warranty Period: For 30 days after project delivery, we will address any defects or deviations from agreed specifications at no additional cost.
- Refunds: Refunds after project completion are considered on a case-by-case basis when deliverables substantially fail to meet documented specifications.
2.2 Retainer and Ongoing Services
For clients on retainer or ongoing service agreements:
- Unused Hours: Unused retainer hours do not carry over unless specified in your agreement. No refunds are issued for unused hours at the end of a retainer period.
- Cancellation: You may cancel retainer services with 30 days written notice. You will be charged for services rendered through the effective cancellation date.
- Prepaid Services: Prepaid amounts for services not yet rendered will be refunded, minus a 10% administrative fee.
3. Consultation Services
3.1 Initial Consultations
Our initial discovery consultations are provided free of charge. No refund issues apply to these sessions.
3.2 Paid Consulting Engagements
- Before Session: Cancel 48 hours or more before a scheduled session for a full refund.
- Late Cancellation: Cancellations less than 48 hours before a session are non-refundable but may be rescheduled once at no additional charge.
- No-Show: Missed sessions without prior notice are non-refundable.
4. Circumstances Affecting Refunds
4.1 Situations Where Refunds May Be Issued
- CaCodeCourses is unable to deliver agreed services due to our own limitations
- Deliverables substantially fail to meet documented specifications after reasonable correction attempts
- Services are cancelled before work commences (subject to Section 2)
- Duplicate billing or payment processing errors
4.2 Situations Where Refunds Will Not Be Issued
- Change of mind after work has commenced
- Failure to provide necessary information, access, or feedback in a timely manner
- Changes to project scope or requirements that render completed work obsolete
- Third-party issues outside our control (hosting providers, APIs, etc.)
- Dissatisfaction with results that meet documented specifications
- Business decisions to discontinue the project
5. Refund Process
5.1 How to Request a Refund
To request a refund, please follow these steps:
- Contact Us: Send a written refund request to [email protected] including:
- Your name and company
- Project or invoice reference number
- Detailed reason for the refund request
- Any relevant documentation
- Review: Our team will review your request within 5 business days.
- Resolution: We will contact you to discuss the request and work toward a resolution.
- Decision: You will receive a written decision within 10 business days of your request.
5.2 Refund Methods
- Refunds are issued using the original payment method when possible.
- Credit card refunds may take 5-10 business days to appear on your statement.
- Wire transfer refunds may incur bank fees that will be deducted from the refund amount.
- For amounts over $5,000 CAD, refunds may be issued by cheque.
6. Dispute Resolution
If you disagree with a refund decision, we encourage the following process:
- Internal Review: Request an escalation to our management team for a secondary review.
- Mediation: If internal resolution fails, we are open to third-party mediation.
- Legal Remedies: As a last resort, disputes may be resolved through arbitration as outlined in our Terms and Conditions.
7. Special Circumstances
7.1 Force Majeure
In cases of force majeure (natural disasters, pandemics, war, etc.) that prevent service delivery, we will work with clients on a case-by-case basis to find fair resolutions, which may include refunds, service credits, or project pauses.
7.2 Client Insolvency
In the event of client insolvency or bankruptcy, refunds are subject to applicable bankruptcy laws and the priority of creditors.
8. Service Credits
In some situations, we may offer service credits instead of cash refunds. Service credits:
- Are valid for 12 months from the date of issue
- Can be applied to any CaCodeCourses service
- Are non-transferable
- Cannot be redeemed for cash
9. Amendments to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective upon posting to our website. The policy in effect at the time of your purchase or service engagement will apply to that transaction.
